Restaurant GST Billing Software in India: What to Look For

How GST billing works for restaurants in India, what your billing software must do to stay compliant, and the questions to ask before you buy.

Why GST billing needs proper software

Every restaurant bill in India has to show the right tax, on the right items, in a format that holds up at filing time. Doing this by hand or with a basic billing app creates errors that show up later as mismatched sales, wrong tax totals, and hours of reconciliation with your accountant.

GST billing software automates the tax calculation and the invoice format. It also gives you the reports your accountant needs at the end of each period.

Check with your accountant which GST rates and scheme apply to your outlet. The software should follow those rules, not replace the advice.

What your GST billing software must do

1. Produce proper tax invoices

Each invoice should include your GSTIN, a sequential invoice number, the item-wise tax breakdown, and the total tax. A bill that only shows a final amount is not enough for compliance.

2. Apply tax rates per item

Different menu items can carry different rates. The software should let you set the tax for each item or category, and apply it correctly when the same item is ordered dine-in, takeaway, or delivered.

3. Calculate discounts in the right order

Discounts usually need to be applied before tax is calculated. Test this with a sample bill before you rely on it. If the discount is applied after tax, your invoice totals and tax reports won't match.

4. Generate GST reports

Ask for sales summaries broken down by tax rate, with downloadable invoices. This is what makes filing manageable. If reports require manual copying from the screen, expect more work at every filing.

5. Keep invoice numbering intact

If you ever switch systems or reinstall, invoice numbers must continue without gaps or repeats. Ask the vendor how numbering is handled during an upgrade or a move to new hardware.

How DPOS handles GST billing

DPOS includes GST invoicing in its POS and billing software. You can configure taxes and discounts depending on your service type, regional rules, and business needs. The bill format can include your restaurant logo, itemized break-ups, customer details, and a dynamic QR code for payments.

For reporting, DPOS produces tax-ready sales summaries and downloadable invoices for compliance workflows. You can see the full set of billing and reporting features on the POS & billing page.

Questions to ask any GST billing vendor

  • Does every invoice show my GSTIN and the item-wise tax breakdown?
  • Can I set different tax rates for different menu items?
  • In what order are discounts and tax calculated? Can you show me a sample bill?
  • What reports can I download for filing, and in what format?
  • How are invoice numbers kept continuous during updates or hardware changes?
  • What does the monthly cost include, and what is extra?

Common GST billing mistakes

  • Wrong tax rate on a menu item. Review your menu's tax settings whenever you add or change items.
  • Discount applied after tax. This creates a mismatch between the bill and the tax report.
  • Changing invoice formats without checking compliance. A cosmetic change can drop a required field.
  • Waiting until filing to check reports. Run the sales report every week to catch errors early.
