What QR menu ordering is
QR menu ordering lets guests order from their own phone. Each table has a QR code. The guest scans it, browses the menu in their phone's browser, and places an order. There's no app to download.
For the restaurant, the important part is what happens next. Orders should go straight into your POS and kitchen, not onto a paper slip that someone has to re-enter.
How the flow works, step by step
- The guest scans the table's QR code. The code is specific to that table, so the order is attached to the right seat.
- The guest logs in with a one-time password. A quick OTP login creates a guest profile, which you can use for repeat visits and loyalty tracking.
- The order syncs to your POS. Orders appear on your billing terminal and print on the kitchen order ticket printer.
- The guest pays. Payment can happen through the checkout inside the menu, using UPI or card options that you enable.
- The guest sees the status. Updates such as "kitchen accepted" and "food ready" show on the guest's screen as the order moves along.
What makes QR ordering work or fail
The menu must be current
If a dish is sold out or a price has changed, the QR menu must show it. An outdated menu causes wrong orders and disputes at the table.
Orders should not be re-entered
The main reason for QR ordering is to remove manual entry. Ask whether orders flow directly into your POS and kitchen, or whether staff still need to key them in.
Guests without smartphones need a fallback
Not every guest will scan. Keep staff ready to take orders the traditional way, and make sure the POS handles both sources the same way.
Payment setup takes time
Check which payment providers you can connect and how long setup takes. Test a payment before the first busy service.

- How is the menu updated when items run out or prices change?
- What happens if a guest orders without scanning, or if the internet drops?
- Who owns the guest data, and can I export it?
Mistakes to avoid
- Putting the QR code only at the entrance. Each table needs its own code, or the order goes to the wrong place.
- Leaving sold-out items on the menu. Update the menu before each service.
- No staff fallback. Make sure a server can take the order when a guest can't scan.
